July
• Update East Ridge Emergency Preparedness letter footer with names of committee parents and staff members, updated wish list, and due date for the survey.
• Submit initial East Ridge Emergency Preparedness newsletter and family survey (printed back-to-back) to PTA president for inclusion in PTA handbook for the "first day packet."
• Contact local preparedness supply company to support sales of emergency kits during fall event. (Specify of sales are fundraiser or just at cost, depending on PTA policy for the Fall event.)
August
• Letter is sent home with packet on first day of school.
• Arrange for a table at the Fall event to answer questions, distribute and collect surveys, sell personal and family kits for fundraising (if allowed), and recruit volunteers for the committee. Prepare donation cards for people to take as a reminder for items they wish to donate. Obtain American Red Cross brochures if necessary.
September
• Request volunteers at First Day Cofee for parents.
• Staff team members update lists and maps, restock classroom emergency backpacks, check inventory of radios, repaint classroom numbers on field, conduct first fire drill.
• Hold first emergency preparedness committee meeting with staff and PTA reps.
• Host table at Fall event. Bring extra surveys, donation cards for needed supplies, American Red Cross brochures and a sign up sheets for volunteers.
October
• Staff team members collect completed surveys and check on WSP status for those parents who volunteered to help. Enter status on forms and give to PTA reps to put into database.
• Send a follow up letter to parent volunteers who do not have a current WSP background check on file, requesting that they fill in the paperwork at the office.
• Enter survey data into a copy of the database for the current year.
• Print database reports for the Principal, Staff committee members, the container, and the office staff.
• Take inventory of container. Identify needed supplies (replace, update, missing). Rotate food/water as needed.
• Send a letter home to parents with a specific student release instructions for pick-up, example student release card and a map of the school, updated wish list, suggestions for a "backpack emergency kit" for students, and an article from the school nurse regarding student-specific medication supplies and food for children with allergies available during an emergency.
• For parents of 6th grade volunteers, send a letter with an explanation of their assignment and a permission slip with due date.
• Prioritize PTA emergency preparedness budget spending depending on needs identified from container inventory.
• Staff reps priortize staff refresher retraining (first aid, CPR).
• Work with PTA board to schedule an emergency preparedness PTA night. Make arrangements for American Red Cross to come and talk about preparedness and hand out information (free).
November
• Send a follow up letter to survey volunteers with a thank you note, ID badge with assignment printed, and instructions where to report.
• Procure items with portion of committee budget as decided by the committee.
April
• Recruit volunteers to test student release during the district earthquake drill
May
• District earthquake drill
• Host table at Learning Celebration. Bring donation cards for needed supplies and sign up sheets for volunteers. Arrange for sales of personal and family kits.
• Ensure all final purchases are completed before PTA books are closed for the year.
• Recruit new committee members for next year.
